for bookings made via e-commerce / online booking: payment of 100% of the total amount at the time of purchase.
Any remaining balance (where applicable) must be paid within the deadlines communicated to the client at the time of confirmation (or as indicated in the booking summary).
Important note: submitting a booking request does not guarantee availability. Availability is confirmed only after written confirmation from Monterosa Booking.
4) Cancellation conditions
Cancellations must be communicated in writing by email or WhatsApp to the official contacts provided by Monterosa Booking and shall be considered valid from the date and time the communication is received.
For the purpose of calculating penalties and refunds, the start date of the booked activity shall apply.
4.1 Cancellation by the client – Private activities
In the event of cancellation, the following conditions apply:
A) Cancellation up to 30 days before the activity start date
The confirmatory deposit (50%) is non-refundable but will be converted into a credit valid for 18 months from the date of cancellation, to be used for an activity of equivalent value or with any price adjustment.
B) Cancellation from 29 to 4 days before the activity start date
50% of the total amount is due.
C) Cancellation within 3 days prior to the activity / no-show
100% of the total amount is due.
D) Interruption or withdrawal during the activity
100% of the total amount is due.
4.2 Cancellation by the client – Group activities
For group activities (with fixed dates and limited availability), the following conditions apply:
A) Cancellation up to 30 days before the activity start date
The confirmatory deposit is non-refundable.
B) Cancellation from 29 days before the activity start date onwards
100% of the total amount is due.
Organisational rationale: for group activities, arrangements are made well in advance (limited places, guide assignment, hut reservations and logistical services). In the event of cancellation close to the activity date, even if participant substitution is possible, organisational costs already incurred may not be recoverable in time.
4.3 Adverse weather or dangerous conditions (decision of the Alpine Guide)
Safety always takes priority.
In the event of adverse weather conditions or objectively dangerous situations (for example high avalanche risk, strong winds, unstable snowpack, unsafe glacier conditions, terrain instability, etc.), the UIAGM Alpine Guide may:
postpone the activity
modify the programme
propose a safer alternative activity
cancel the activity if no suitable solution exists
In such cases:
A) Credit option (standard)
The deposit will be retained as a credit valid for 18 months from the cancellation date and may also be used for a different activity, subject to any price difference.
B) Deposit refund option (upon client request)
If the client expressly requests a refund of the deposit, €80.00 per participant will be retained as administrative and booking costs.
4.4 Cancellation by Monterosa Booking for reasons other than weather
If Monterosa Booking cancels the activity for organisational reasons attributable to Monterosa Booking (and not due to weather or safety), a full refund of all amounts paid directly to Monterosa Booking will be issued.
4.5 Third-party services (huts, lifts, transport, rentals)
Some services may be provided by third-party suppliers (mountain huts, cable cars, transport services, equipment rentals, etc.). Any amounts already advanced or deemed non-refundable under the supplier’s conditions may be retained if not recoverable.
Such deductions may be documented and communicated to the client (for example through supplier conditions and/or receipts), upon request.
5) Booking modifications
5.1 Date changes
A request to change dates may be made up to 30 days before the scheduled start of the activity, subject to guide and facility availability. After this deadline, date changes are not possible.
5.2 Participant name changes
Participant names may be changed at any time without penalty, provided the replacement participants are suitable for the required technical level and are communicated in sufficient time for organisational purposes.
6) Changes to the planned programme (Alpine Guide responsibility)
The Alpine Guide is responsible for leading the activity and, in the interest of safety, may modify the programme based on their technical and safety assessment, which shall be binding for all participants, including changes to:
itinerary
duration
progression technique
final objective
timing
If the guide determines that weather conditions, safety factors or the preparation/fitness level of the group are not suitable, an alternative programme or new dates for the same activity will be proposed.
If it is not possible to identify a shared alternative solution on the scheduled dates (or immediately thereafter), the deposit paid will be converted into a credit valid for 12 months for another Monterosa Booking activity, subject to any price adjustment.
7) Group activities – Minimum number of participants
For group activities, if the minimum required number of participants is not reached, Monterosa Booking may cancel the activity no later than 7 days before the scheduled date.
In this case, the deposit paid will be fully refunded or, at the client’s request, converted into a credit valid for 18 months for another activity.
If cancellation occurs after this deadline due to exceptional circumstances, Monterosa Booking will propose an alternative solution agreed with the client. If no alternative can be agreed, a full refund of the amounts paid will be issued.
8) Liability, risks and awareness
Monterosa Booking operates as the organiser of the proposed activities, coordinating the services described in the programmes and entrusting, where applicable, the technical leadership to certified Alpine Guides and qualified professionals.
Activities take place in a natural mountain environment, sometimes at altitude and on alpine or glacial terrain, and involve objective, unavoidable risks, including serious injury, arising from environmental, meteorological, technical and physical factors.
The client declares that they are aware of the characteristics of the chosen activity, the associated risks and accepts them, undertaking to behave responsibly and to strictly follow the instructions provided by the organisation and by the appointed guides or leaders throughout the activity.
The client declares and warrants, to the best of their knowledge, that they are in suitable health conditions to undertake the activity, possess the required technical and physical level, and undertake to communicate in advance any medical conditions, ongoing treatments, physical limitations or other relevant factors affecting safety.
During guided activities, technical, logistical and safety decisions rest exclusively with the appointed guide or leader and are binding for all participants.
On the recommendation of the Alpine Guide or activity leader, Monterosa Booking may modify, suspend or interrupt the experience exclusively for safety reasons if environmental or weather conditions, terrain status or participants’ physical conditions make it necessary. Where possible, an alternative solution or postponement will be proposed. Any refunds or credits will be managed in accordance with these conditions.
Acceptance of the conditions
A booking is considered confirmed exclusively:
for direct bookings (via email/telephone/WhatsApp), upon written confirmation by Monterosa Booking and payment of the required confirmatory deposit within the communicated deadlines;
for bookings made via e-commerce / online booking, upon completion of the order and payment.
These terms and conditions are deemed accepted by the client upon booking confirmation and/or upon payment, even partial, of the amount due.
Operational communications relating to the booking (meeting times, meeting points, logistics, possible changes) may be sent via email and/or WhatsApp to the contact details provided by the client. The client is responsible for regularly checking these communication channels.
If the client fails to make the required payment within the communicated deadlines, Monterosa Booking reserves the right to consider the request void, releasing allocated places, guides and services.
By accepting these conditions, the client declares that they have read, understood and fully accepted these terms, including clauses relating to risks, liability, physical suitability and the decision-making role of guides or leaders.
Use of photos and videos (image and communication)
During the activities, Monterosa Booking and/or the appointed professionals, such as Mountain Guides, may take photographs and short videos for documentary and promotional purposes, including use on the website, social media, informational materials and company communications.
Any use of the client’s image will always be respectful and consistent with the context of the activity, without any content that may harm personal dignity.
Photographs and videos voluntarily shared by the client with Monterosa Booking, including via WhatsApp, email or other communication channels, may also be used by Monterosa Booking for the same documentary and promotional purposes, unless otherwise indicated by the client.
The client may deny or withdraw consent for the use of their image at any time, by informing Monterosa Booking before or during the activity, including verbally or via WhatsApp. The withdrawal of consent will apply to future publications. For content already published, Monterosa Booking undertakes to remove it as soon as possible, within reasonable technical limits.
In the event of refusal or withdrawal of consent, participation in the activity remains confirmed and no penalty will apply.
Limitation of liability
Monterosa Booking shall not be liable for reckless behaviour, personal initiatives taken by participants, failure to comply with instructions received, or medical information not disclosed.
Any services provided by third parties (mountain huts, cable cars, transport services, accommodation facilities) are subject to the conditions and liability of the respective operators.8
